How to choose an online booking system: custom vs SaaS (and what it costs)
A guide for salons, clinics, gyms and events: when a custom booking system beats a SaaS, what it must include (including memberships with recurring billing), and what it costs — 8,000–25,000 RON.

If your business lives on appointments — salon, clinic, gym, court, practice, events — the booking system isn’t a nice-to-have, it’s the infrastructure your revenue flows through. The question isn’t “do I need one”, it’s custom or an off-the-shelf SaaS? And, of course, what it costs.
A custom booking system starts with us at 8,000 RON and goes up to ~25,000 RON, depending on rule complexity, integrations, and whether you also run memberships.
Custom vs SaaS — when each is worth it
A booking SaaS (Calendly, Booksy and friends) is fine for simple needs: one resource, one schedule, standard payments. You start fast and cheap. The limits show up as you grow:

Simple rule: if bookings are secondary, a SaaS is enough. If you live off bookings and have your own rules (capacity, staff, memberships, integrations), a custom system pays for itself — no more fee on every appointment and no more “the platform won’t allow that”.
What a serious system must include
Whatever the field, a good booking system has the same parts:
- Live availability — the client sees exactly what’s free, no double-booking.
- Online payments — deposit or full payment at booking, to cut no-shows. See online payment integrations.
- Email + SMS notifications — confirmation and reminder. A simple SMS the day before dramatically reduces no-shows; it’s also the easiest place where automations make you money directly.
- Staff panel — reception sees the day at a glance and moves bookings without calling the developer.

The special case: gym memberships
A gym doesn’t “book tables” — it sells memberships and manages members. It’s a more complex form of booking, with its own rules: membership periods, check-in at the door, class schedules, class bookings with limited capacity and, the sensitive part, recurring payments.

How long it takes
A booking system is a project with real logic behind it — realistically weeks, depending on how many rules and integrations it has. The process is structured: objectives → availability rules → payments and notifications → staff panel → launch. It doesn’t ship “half done”; it ships when it can take money and manage correctly.
What’s NOT included
To keep the price honest: monthly maintenance (from 800 RON/month), SMS costs (paid to the SMS provider, per message), and any exotic third-party integrations, which we scope separately case by case.
